- List the tasks per asset. Pull the recommended tasks from each machine's manual: lubrication, inspection, cleaning, calibration, tightening, filter and belt changes.
- Set a frequency for each: daily, weekly, monthly, quarterly or annual. Group the daily and weekly items so operators can do them as autonomous maintenance.
- Assign an owner so nothing falls between operator and technician.
- Tick items complete on the round; the completion bar and per-frequency counts update live.
- Export or print a clean copy for the machine, and review the intervals against your failure history each quarter.

What should a PM checklist include?
Task, equipment, frequency and owner, at minimum. Grouping by frequency (daily, weekly, monthly, quarterly, annual) is what turns a list into a workable schedule, which is how this template is organised.
How often should PM tasks run?
Begin with the manufacturer's recommended intervals, then tune with your own data: shorten intervals for repeat failures and extend them for checks that never find anything. Condition monitoring lets you move from calendar-based to wear-based intervals.
Can I export or print it?
Yes. Download CSV opens it in any spreadsheet, and Print / PDF gives a clean checklist to carry to the machine.
When should I move off a spreadsheet?
When you are tracking many assets, multiple technicians, or need an audit trail of what was done and when. That is the point a CMMS pays for itself by automating scheduling and record-keeping.
